Privacy & Consent

This page explains what happens to the information you provide when you use the WebEyeClinic chat and how Visio and authorized clinical staff may be involved.

What WebEyeClinic saves

When you start a saved case, WebEyeClinic may store the profile information you provide, your conversation, eye or health information you choose to share, uploaded images or reports, and messages sent by authorized clinical staff.

This allows you to return to the same case and allows the clinical team to review the information already provided instead of asking you to start again.

Who may review your saved case

Authorized WebEyeClinic clinical staff in the organization may review a saved case when needed for the service. Access is restricted through staff accounts and organization controls.

The patient chat may identify a staff member using their professional title and first name, for example Ophthalmologist - Sarah.

How your email is used

Your verified email may be used for service messages connected to your case, such as verification codes, secure return links and notifications that a clinician has replied.

Agreeing to use the chat is not a marketing opt-in. Promotional or newsletter consent, if offered in the future, must be separate.

About Visio and AI

Visio is WebEyeClinic’s AI eye-care assistant. It can ask questions, organize information and provide educational eye-care information and general recommendations.

Visio is not a licensed clinician and does not provide a definitive diagnosis, prescription or emergency medical service. AI information does not replace appropriate in-person medical assessment when that is needed.

Images, scans and reports

If you upload an eye photograph, scan, test result or report, it becomes part of the saved case. AI or clinical staff may review it as part of the conversation.

An image or report alone may not provide enough information to determine the cause of an eye problem, so WebEyeClinic may still recommend an examination or other appropriate follow-up.

Emergency and urgent symptoms

WebEyeClinic is not an emergency service. If symptoms may need urgent assessment, Visio may advise urgent or in-person care rather than waiting for an online reply.

Retention & deletion

Ending the browser chat does not delete a saved case. Saved cases are kept according to the retention settings that apply to the WebEyeClinic service.

If you return to an existing case through the secure My Chat area, you can request deletion of that saved case from Privacy & data. A deletion request is reviewed by an authorized WebEyeClinic Supervisor and does not erase the case automatically. Permanent deletion is completed only through the controlled retention and deletion workflow when the case is eligible.

How consent is recorded

When you tick the required consent box and start a saved case, WebEyeClinic records the consent version, the date and time, the wording covered by that version and the items included in your acceptance.

The consent record remains associated with the saved case so WebEyeClinic can retain which information was presented when you accepted it.
